Privacy & data
Your Data Rights
How to exercise your rights to access, correct, erase, restrict, object to or port your personal data, what we need from you, and how long a response takes.
1. Making a request
Send your request to privacy@eurabeltfuels.com with:
- your full name and the organisation you are connected with;
- the application reference, VIC or verification reference, if you have one;
- which right you wish to exercise and, if you can, the information your request concerns.
You do not need to use a particular form of words. We will not charge a fee unless a request is manifestly unfounded or excessive.
2. Verifying your identity
To protect the data we hold, we will confirm your identity before acting on a request. We ask only for what is necessary; usually this is a reply from the email address we hold for you.
3. Response times
| Jurisdiction | Standard time limit |
|---|---|
| United Kingdom | One month. This may be extended by up to two further months for complex requests, and the time limit may be paused while we seek necessary clarification. |
| Canada | 30 days, extendable in the circumstances the law permits |
| South Africa | 30 days for PAIA access requests (see the PAIA & POPIA Manual); POPIA correction requests without undue delay |
| Trinidad and Tobago | Within the period set by the Data Protection Act, 2011, to the extent in force |
If we need more time, we will tell you why.
4. Your rights and how they apply here
| Right | How it applies to the Registry |
|---|---|
| Access | You can receive a copy of your personal data and information about how we use it. |
| Correction | You can have inaccurate data corrected. Facts sealed into a code are corrected by re-issuing the code, which keeps the Ledger's integrity intact. |
| Erasure | Available where the data is no longer needed and no legal obligation requires us to keep it. Ledger records and verification logs that past verifications depend on, or that AML law requires us to keep, are retained until their period expires. |
| Restriction | You can ask us to limit our use of your data while a dispute about accuracy or lawfulness is resolved. |
| Objection | You can object to processing based on legitimate interests. We will stop unless we have compelling grounds, for example fraud prevention or legal claims. |
| Portability | You can receive data you gave us, in a structured, machine-readable format. |
| Withdrawal of consent | Where we rely on consent, you can withdraw it at any time. A code holder can revoke outstanding ATVs at any time. |
5. If you are not satisfied
You can ask for your complaint to be reviewed under the Complaints & Appeals procedure, or complain to a supervisory authority listed in the Privacy Notice.
